Troubleshooting discharge issues

Individuals may report problems with the discharge process in SESIS.

To troubleshoot discharge issues

  1. Select from below.

    If... Do this...
    The student does not appear on the Discharge YTD report
    1. Ask if the student attends a public school.

    2. Proceed to step 2.
    The student appears on the Discharge YTD report in error
    1. Verfiy that the student was supposed to be discharged.

      Important: If the student was not supposed to be discharged at all, call the SESIS Help Desk at (718) 935-2985.

    2. Determine if the student attends a public school.

    3. Proceed to step 4.

    If... Do this...
    Yes, the student attends a public school
    1. Verify that the student has been discharged properly in ATS.

      Important: The student must be discharged in ATS before the Discharge document can be created in SESIS.

      Note: For certain discharge codes, the student is automatically made inactive in SESIS. In these cases, there is no further action needed after the student is discharged in ATS. If the student has been discharged in ATS but still remains active in SESIS, the Discharge document is required to make the student inactive.

    2. In SESIS, locate the student's profile.
      How?

    3. From the Actions bar, click Documents.

      A list of all documents for the student appears.

    4. Create the Discharge document.
      How?

    5. Verify that the following questions have been answered correctly:

      • All discharge codes:

        • Did the parent request an impartial hearing? Check No.

          Students who are involved in an active impartial hearing may not be discharged.

        • I have reviewed the discharge guidelines and I certify that this student should be inactivated from SESIS. Check Yes for SESIS to inactivate the student.

      • If Discharge code 6 or 8 was selected:

        • Did the parent request services? Check No for SESIS to inactivate the student.

      • If Discharge code 10 or 11 was selected:

        • Did the student's parent(s) move out of the city? Check Yes for SESIS to inactivate the student.

      • If Discharge code 39 was selected:

        • Verify that the student has completed the school year in which he or she turned 17 and two outreach attempts to the parent or guardian have been made and logged in the student's event log.

    6. Proceed to step 3.
    No, the student does not attend a public school
    1. Verify that the Discharge document has been created for the student.

      Note: If the document has not been created, create the Discharge document in SESIS.

    2. Review the discharge code and verify that the following questions have been answered correctly:

      • All discharge codes:

        • Did the parent request an impartial hearing? Check No.

          Students who are involved in an active impartial hearing may not be discharged.

        • I have reviewed the discharge guidelines and I certify that this student should be inactivated from SESIS. Check Yes for SESIS to inactivate the student.

      • If Discharge code 6 or 8 was selected:

        • Did the parent request services? Check No for SESIS to inactivate the student.

      • If Discharge code 10 or 11 was selected:

        • Did the student's parent(s) move out of the city? Check Yes for SESIS to inactivate the student.

      • If Discharge code 39 was selected:

        • Verify that the student has completed the school year in which he or she turned 17 and two outreach attempts to the parent or guardian have been made and logged in the student's event log.

    3. Proceed to step 3.

  3. Select from below.

    If... Do this...
    One or more questions were not answered correctly and the document has not been finalized
    1. Make all necessary changes to the Discharge document and finalize it.

      The student will be made inactive in SESIS within 24 hours of finalizing the Discharge document.

    2. Discharge the student in CAP.

      The student is made inactive.

      Important: The discharge in SESIS does not migrate to CAP. The student must also be discharged in CAP.
    One or more questions were not answered correctly and the document has been finalized
    1. Complete a Document Control Request (DCR) to edit the finalized document.
      How?

    2. Once approved, make the necessary updates to the document and finalize it.

      The student will be made inactive in SESIS within 24 hours of finalizing the corrected Discharge document.

    3. Discharge the student in CAP.

      The student is made inactive.

      Important: The discharge in SESIS does not migrate to CAP. The student must also be discharge din CAP.
    All questions were answered correctly
    1. Verify that the document has been finalized.

      Note: If the document has not been finalized, finalize it now.

    2. Call the SESIS Help Desk at (718) 935-2985.

  4. Select from below.

    If... Do this...
    Yes, the student attends a public school
    1. Verify that the student has been discharged in ATS.

      Important: If the student has not been discharged in ATS, all the SESIS Help Desk at (718) 935-2985.

      When a student is discharged in ATS, the discharge is communicated to SESIS.

    2. Contact the individual at the student's school who is responsible for ATS to make any corrections. Once the correction is made in ATS, the update will automatically be communicated to SESIS.

    No, the student does not attend a public school
    1. Locate the student's profile.
      How?

    2. From the Actions bar, click Documents.

      A list of all documents for the student appears.

    3. Review the list and verify that the Discharge document appears.

      Important: If the Discharge document does not appear, all the SESIS Help Desk at (718) 935-2985.

    4. Click the link to open the document.

    5. Review the document and locate the error.

    6. Call the SESIS Help Desk at (718) 935-2985.
