Reviewing the Finalized Document Status report

When a document is created and finalized in SESIS, the data is transmitted to CAP within two to four days. This is necessary so that the appropriate data is available in CAP for placement and provider assignment.

Occasionally, an error occurs during this process and the data is not successfully transmitted to CAP. In some cases, the Individualized Education Program (IEP) team must correct the document before it can be successfully transmitted to CAP. The Finalized Document Status report provides status information for documents that have been finalized in SESIS and transmitted to CAP.

To review the Finalized Document Status report

  1. From the left navigation bar, click Reports, then click Advanced.

  2. On the main page, click Advanced Reports, then click Finalized Document Status.

    The Finalized Document Status report appears.

  3. Locate the appropriate document.

    Note: If more than one document has been finalized for the student, the student will appear multiple times on the report, once for each finalized document.

  4. Review the Status column to determine the status of the document.

  5. Select from below.

    If the status is... Do this...
    Successful The document data has been successfully transmitted to CAP.
    Pending The document is being processed but has not made it into CAP yet. It can take up to four business days for data to flow from SESIS into CAP.
    1. If the data does not appear in CAP after four business days, review the Finalized Document Status report to see if an error was reported.
    Action Needed | Go to TroubleShooting The document data was not successfully transmitted to CAP because there is an error that must be corrected by the IEP team.
    1. Click the Go to TroubleShooting link to review the steps to correct the problem.

      Important: It is important to review all troubleshooting steps as the document may contain additional errors. Only the first detected error is displayed on the report.

    2. If the steps instruct you to amend or reconvene the IEP, contact your school's special education liaison for assistance.
    Known Issue The document data was not successfully transmitted to CAP. The technical team is working to resolve the issue without the need for the IEP team's involvement.
