Adding a student to a provider's caseload in SESIS
When a New York City Department of Education (DOE) staff member, contracted
agency provider, or independent service provider has been notified that he or
she is responsible for delivering special education services to a student, the
student must be added to the providers caseload in SESIS. Students should only
be added to a providers caseload if a mandate exists for the student (i.e. an
IEP) and the provider has permission to provide services to the student.
If the student fails to appear automatically on the your caseload, you may:
- Manually add the student to their SESIS caseload if the provider is
located in the students school
- Contact a supervisor or site administrator to request the student be
manually added to his or her caseload.
To add a student to a provider's caseload in SESIS

- Confirm that you have access to the student and
the provider in SESIS.
- In SESIS, click Administration, and then click
Staff from the left navigation bar.
The Staff Quick Search form appears.
- Search for the appropriate staff member.
- On the search results page, click the magnifying
glass (
)
icon next to the appropriate staff member.
- From the Actions bar, click the Select drop-down
(
)
icon.
- From the pop-up menu, choose Caseload.
- From the Actions bar, click Add to Caseload.
The Student Quick Search form appears.
- Search for the student.
- On the search results page, check the box next
to the student's name.
- Click the green Add Students marked Below to
Caseload button.
- From the Actions bar, click Caseload.
The provider's caseload appears.
Note: If students are missing,
repeat these steps to add additional students to the
provider's caseload.
The provider can now access the
student in SESIS.

- Confirm that the student has been entered as a first attend in
the IVR. Students must be entered as a first attend and will
automatically be added to the providers caseload, which typically
occurs within 48 hours.
- On the SESIS homepage, scroll to the My Student Caseload area
located at the bottom of the page.
The Student Quick Search form appears
- Search for the student.
- On the search results page, check the box next to the students
name.
- Click the green Add Students marked Below to Caseload button.
- From the Actions bar, click Caseload.
Your caseload appears with the
additional student listed.
