Manually building a caseload in SESIS
When a New York City Department of Education (DOE) staff member, contracted
agency provider, or independent service provider has been notified that he or
she is responsible for delivering special education services to public school
students, the student must be added to the providers caseload in SESIS. Related
services providers must first record the first attend in IVR and then wait to be
given access to the student in SESIS, which typically occurs within 48 hours.
Students can be added to SESIS caseloads in the following ways:
- Manually add the student to the caseload. This is only possible if the
provider already has access to the student in SESIS.
- Contact a supervisor to request that the student be added to his or her
caseload.
DOE supervisors with citywide access to students can add students
to the caseloads of providers.
To manually build a caseload in SESIS
- Confirm that you have access to the student in SESIS.
- Select from below.

- On the SESIS home page, scroll to the My Student
Caseload section and click the Edit link.
A list of students on the user's caseload appears.
- From the Actions bar, click Add Students.
The Student Quick Search form appears.
- Type the search criteria, using one of the following
methods:
- In the ID field, type the student's
OSIS number.
- In the Last Name field, type the
first few letters of the student's last
name.
Tip: If your search
results are too broad, type additional
text until your search results are
narrowed.
- Click the Search button.
A list of students appears unless you entered the
students OSIS number.
- Check the checkbox next to the name of the
appropriate student.
- Click the Add Students Marked to Standard Caseload
button.
The student has been added to
you caseload. You may log services already
provided or schedule future services for the student.

You do not have access to the student in SESIS |
- Confirm that the individual has logged the students
first attend into the IVR over 48 hours ago.
- If the student attends a
different school from the service provider, you must contact
your supervisor to have the
student added to your caseload.
