Updating a process stage

The process stage identifies a student's current stage in the special education process. The student's process stage appears on the Special Education Summary section of his or her profile in SESIS.

If the student's last Individualized Education Program (IEP) was not completed in SESIS, the process stage may not be correct. Individuals may correct the process stage by creating the correct Notice of IEP Meeting document.

Important: If the IEP document has already been created (draft or finalized), the individual may not follow this procedure. The SESIS Help Desk must handle the correction.

To update a process stage

  1. Select from below.

    If... Do this...
    The IEP has been created The process stage cannot be updated by creating the Notice of IEP Meeting document.
    1. Call the SESIS Help Desk at (718) 935-2985 and inform the representative that the process stage is wrong but the IEP has already been created.
    The IEP has not been created
    1. Proceed to step 2.

  2. Select from below.

    If... Do this...
    The Notice of IEP has been created but not sent
    1. Delete the draft Notice of IEP Meeting document.

    2. Proceed to step 3.
    The Notice of IEP has been created and sent to the parent or guardian The incorrect notice cannot be deleted.
    1. Finalize the incorrect Notice of IEP Meeting document if it is not already finalized.

    2. Proceed to step 3.
    The Notice of IEP Meeting has not been created
    1. Proceed to step 3.

  3. Create a new Notice of IEP Meeting document.
    How?

    The Selection screen appears.

  4. From the Type of Notice drop-down menu, choose the appropriate notice type that matches the correct process stage.

    Important: If you are changing the process stage by selecting a different notice type from the drop-down, first verify with the special education liaison or any other individual that works with the student, that he or she has not created any documents that would affect the process stage.

    Important: If the process stage should be Initial, Reevaluation or Mandated 3-Year, you must first create the appropriate referral document before creating the Notice of IEP Meeting document.

  5. Check the checkbox to update the process stage to the process stage that corresponds with the type of notice you selected.

  6. Click the Save, Done Editing button.

    The correct notice type appears.
