Finalizing a document
The status of all documents created in SESIS must be changed to Final once all work is completed. Once a special education case is opened in SESIS for a student, the New York City Department of Education has 90 days to complete all student evaluations and place the student in the appropriate service(s). All documents created in SESIS as part of this process must be finalized within that 90-day window. Documents can only be finalized once all work on the document has been completed.
Note: Some documents must be finalized before others can be finalized. For example, the Assessment Planning document cannot be finalized until all required evaluations that are identified in the Assessment Planning document have been completed and finalized in SESIS.
To finalize a document
- Locate the document.
How?
- If the document being finalized is the Assessment Planning document, do the following:
- From the Actions bar, click More Actions.
- From the pop-up menu, click Regenerate this section.
- If profile updates were made in ATS but they are not reflected in the SESIS document, do the following:
- From the Actions bar, click More Actions.
- From the pop-up menu, choose Update Document from Student Profile.
- Click the OK button to update the document from the student profile.
The document refreshes.
- From the Actions bar, click More Actions.
- From the pop-up menu, choose Change the status of this document.
- From the Change status from Draft to drop-down menu, choose Final.
- Click the Accept button.
Important: You will not be able to finalize a document if it is dependent on another document that has not been created or is not yet finalized. Refer to the guided actions for more information, as applicable.
